Interesting Productivity Tools at the Workplace and For Personal Well-Being

Reading Mode in Google Chrome

Many websites, especially news and general interest websites, which are free, carry a large number of advertisements to help pay for the content. It becomes irritating to wade through the ads to read the main content.

Google Chrome has now introduced — Reading Mode — to take care of this. So now, whenever you are on a website with many ads and you wish to focus on the text content of the website, just enable Reading Mode and you can read the content as plain text.

Reading Mode can be enabled in two ways: on a page with lots of text, just right-click on any text area and you will find an option in the list saying, “Open in Reading Mode”. Alternatively, on the top right hamburger menu, you can click on “More Tools” and then click on “Reading Mode”. Under both options, a panel will pop up on the right, with plain text.

You may resize the panel, change the text to your preferred font, change the font size, and change the background color scheme to your liking. You can also choose the line spacing and letter spacing for easy reading comfort. And, if you want to browse through multiple pages on the same site, you even have an option to pin the Reading Mode, so that it stays throughout your stay on that site.

This is free and available on all the latest updated versions of Chrome.

Try it, you will really enjoy reading stuff online for hours!

How to Spot and Avoid Fake News

These days, there is a plethora of News and Information bombarding us from all sides – be it Whatsapp, Facebook, Twitter, Instagram, TV Channels, News Websites, Newspapers or even Radio! Very often we come to know after a few days / months that an earlier report was false. Sometimes, we may not even come to know of this, until it is too late. Hence, an average layperson is perplexed over what is true and what is not. In this brief writeup, we will try and understand how to spot and avoid Fake News.

TYPES OF FAKE NEWS

Fake News can be of three types:

a)    An honest mistake – where the propagator genuinely believes something to be true and announces it or forwards it without verifying. This can be rectified easily by a simple, sincere apology

b)    Pranks – in this case, the propagator deliberately states something he knows to be false, just for the fun of it, to create mischief. He may even propagate it anonymously, since he knows the repercussions, but the purpose is solely to play a prank

c)    Fake News – this is an intentional propagation of something, knowing it to be false, with the intention to cause benefit or hurt – religious, political or commercial. Of late, the number of cases in this category has been steadily rising.

SO HOW DO WE SPOT AND COMBAT FAKE NEWS?

  • Apply Common Sense: There were several fake photos and videos circulating during the recent Biparjoy Cyclone news. Some even showed massive destruction even before the Cyclone had reached the land! Simple application of mind would be sufficient to call out such fakes!
  • Avoid Confirmation Bias – Not everything about someone who you admire, has to be true. So, when you read something about someone whom you adore, you automatically tend to believe it. Try and avoid the confirmation bias at all times.
  • Look for evidence / source – Always look for links to credible news portals or information websites. Never forward or like stuff if no evidence is provided by the sender. We often find Whatsapp forwards which mention “Forwarded as Received” This is a very strong indicator that the news is unverified and most likely to be false. So, when you get such a message, always ask the sender to quote a reliable source for the same – if a reliable, independently verifiable source cannot be identified, you can most certainly disbelieve the news item. In such cases, please do not forward it further and stop propagation of such false items.

Further, if the author is a known rabble rouser or propagator of fake news in the past, be wary to believe the same person, even if his name is quoted as authentic.

  • Beware of Websites with no physical contact details or the people or group behind them – When the source of the news is a website, please visit the About Us or Contact Page of the website. If you do not see a proper address (not just an email id) it is a red flag! Websites with no physical address and / or the names of people or organisation behind them, are most likely to be misleading and liable to be distrustful.
  • Google Baba to the Rescue – one easy way to fact-check a news item is to search for its title in Google. If it is true, you will find multiple stories around the same topic. If not, you may even find a story which mentions it to be false!
  • Google Reverse Image Search – if you find a horrifying or unbelievable image, just do a Reverse Image Search on Google – Go to Google.com and click on this icon.  It will allow you to copy paste an image and search for the image online. Just try it and you will be surprised at the results!
  • Fake News Debunker Extension – if you would like to frequently check news for its veracity, install the Fake News Debunker Extension in Chrome. Once installed, when you right click on any news item, it will confirm whether it is fake or not.
  • Poynter.org – and if you are concerned on the spread of Fake News, visit this website which offers a free course on identifying Fake News. The key points to consider are:
  • Is this important enough?
  • Is this fact-checkable?
  • Is this original?
  •  Is this reliable?

  • There are many sites which help you identify whether any news items are genuine or not. Some important of these are as under:
  • Altnews.in
  •  Boomlive.in
  • smhoaxslayer.com
  • https://timesofindia.indiatimes.com/times-fact-check
  • https://www.thequint.com/news/webqoof
  • https://fssai.gov.in/cms/myth-buster.php
  • Snopes.com
  • www.factcheck.org/

Most importantly

  • Question Everything
  • Ask the sender to provide evidence
  •  Do not forward if not credible
  • Educate Others – Schools, Colleges and Whatsapp Groups

DO NOT BECOME A FOOL / TOOL IN THE SPREADING OF FAKE NEWS!

Once you are on that website, you can just paste the URL of the webpage that you wish to print, and it will present a Print Preview for you. You can make some more edits / deletions to the webpage as per your requirements and then print. It is that simple.

If you are using Chrome, they also have a Chrome Extension, which does the same thing for the page you are on. This makes the whole process faster, better, and easier – there is no need to copy and paste.

The best part of this is that there is no registration, no login, and no storage of your web pages on their servers. There is a paid, pro version, but most of the stuff that you need is already there in the free version.

Go ahead, and make your web pages Print Friendly, with PrintFriendly.com

IRIS PERIDOT – GSTIN SEARCH

In all business transactions, you get an invoice from your supplier (or even restaurant) which includes its GST Identification No. (GSTIN). If you need to verify the accuracy of the GSTIN, whether supplier is genuinely a GST-registered enterprise, whether GST dues have been paid, and whether GST returns are filed up to date, use this Peridot app.

You can just point to the GSTIN on the invoice or on supplier’s name board (or even enter the GSTIN manually), and the app will give you all the details of the supplier – You not only get the taxpayer details but also other information such as the filing status of the returns and places of businesses registered with the GST system.

A snapshot view also highlights the eligibility of taxpayer to collect taxes and an option to report any non-compliance by taxpayer to the Government.

A very simple but effective app to ensure that you will get credit for your GST when you pay it.

DUPLICATES CLEANER FOR WINDOWS
Over a period of time, we tend to accumulate a lot of duplicate files on our computers. Such duplicates not only hog our disk space but also reduce the speed of our access to our hard drive.

Duplicates Cleaner does just what it says. It scans our hard disk and identifies all the duplicate files in a single folder or in multiple folders. You can then choose to quarantine the duplicates or just send them to the recycle bin directly. It is that simple!

To install the Duplicates Cleaner, just go to the Microsoft Store and search for application. There are many out there, so look for the one with the icon displayed. Click on Get and it will be downloaded and installed on your system. Be sure to run through the settings to optimize your cleaning the way you want it, and you are good to go!

There is a free version and a paid version for advanced features. But for most of the time, the free version has worked for me, so no need to go for the paid version.

PORTABLE APPS

Your computer, without the computer

We use many apps on our computer, which we are familiar with, on a day to day basis. When travelling or when we do not have access to our own computer, it becomes inconvenient to use another app on someone else’s machine. For example, if we are accustomed to using Google Chrome as our browser and we do not have access to the same elsewhere, it could be disconcerting and painful to use another browser. That is where Portable Apps come in.
The PortableApps.com Platform™ is a full-featured portable software system that ties all your portable apps together and lets you build your own custom portable app suite for use in your synced cloud folder, on your local PC, or on a portable USB drive. And it is kept separate from your local apps. The PortableApps.com Platform is 100 per cent free. Free to use. Free to share. And fully open source.

What it does is that it creates an entire suite of commonly used apps, in compressed form which you can save to your pen-drive, USB drive or on the cloud. Whenever you need to use these apps, you may use them directly off the USB drive or the Cloud without having the need to instal them on the local machine.

Dictation Software

Are you tired of typing? Want to improve your speed? So, how about being a lot lazier than you are?

Dictation.io is your first stop. Use the magic of speech recognition to write emails and documents in Google Chrome and almost anywhere else on the computer. Dictation.io accurately transcribes your speech into text in real-time. You can add paragraphs, punctuation marks and even insert smileys using voice commands.

Just head to https://dictation.io/ and click on Launch Dictation. On the next screen, click on Start, allow the use of your microphone and start dictating! So simple. No login, no sharing your email id, no passwords – nothing. Just start dictating.

Once you have finished your document, you can copy and paste it into any software of your choice – Word, Gmail, WhatsApp, just anything. You can even download and save the file you created in plain text (.txt). If you wish to Tweet your text, the site offers a direct link to Twitter, and you may Tweet it directly on your Twitter account. And if you want to print or email it through Outlook, there is a provision to now print the dictated matter or email it from Outlook.

All the standard formatting options like Bold, Italics, underline, alignments, etc., are available as menu items and voice commands. The site guides you to a set of commands that can be used for inserting new paragraphs, selecting and copying text or deleting it, a host of smileys and special characters, punctuation marks and quotes and brackets.

The site further allows you to dictate in various languages besides English. These include Indian languages like Hindi, Gujarati, Marathi, Bengali, Punjabi, Kannada and many more! So you could type messages in your local language by just dictating the matter and then sending it on any digital media of your choice.

If you are a Gmail fan and wish to use Dictation.io mainly in Gmail, installing the Dictation for Gmail Chrome extension in your Chrome Browser may be helpful. Once done, whenever you go into Compose mode in your Gmail, you will see a tiny microphone on the bottom left of your panel (just next to the Send button). Click on the microphone and start dictating your mails in Gmail directly. Again, you can dictate in multiple languages, and the system will diligently type out the message in
the language of your choice! Punctuations, formatting and a host of other options are all available by voice commands.

If you use Google Docs regularly, you are in for some good news! Once you are creating or editing a document, head to Tools – Voice Typing (or use the Ctrl+Shift+S shortcut), and you will be able to start dictating the document in a language of your choice. It cannot get simpler than that.

And, of course, if you are used to using good old Microsoft Word on the Home Tab, select  Dictate and wait for a red dot to appear on the icon. Once it appears, you can start talking, and whatever you say will appear as text in your Word document. Punctuation marks and a host of other additions are also built-in. Select  Dictate again to stop dictating.

And these days, we are all used to inefficient typing on our phones. We can bid goodbye to those slow error-prone keystrokes if we install Google Keyboard (GBoard) or Microsoft Swiftkey as the primary keyboard on our phone. Once done, there is an option to dictate directly on your mobile phone. The dictation will allow you to insert any text in any application on your phone – no more speed and accuracy issues from now on!

There is no need to have a training session if you speak slowly and clearly for the system to understand what you are saying. It may take a few attempts to get the system to understand your rhythm and pronunciation. Once done, it works like a breeze.

A word of caution for all dictation softwares. The accuracy level could be between 90-95% in the majority of the cases. So, you may have to reread the matter at least once and correct the typos (especially for proper nouns, etc.). But once you get the hang of it, you will save hours and hours of time typing.

HAPPY DICTATING!

POMODORO
In today’s day and age, multi-tasking is a way of life. You will look up and even reply to emails when you are on the phone, answer Whatsapp messages while writing an email or respond to office staff while you are on a Zoom call. If you avoid all these distractive interruptions, you can get more done in less time, with improved focus and better productivity.

The Pomodoro technique comes to our rescue in such cases. The Pomodoro technique is a popular productivity system developed in the late 1980s by Francesco Cirillo. The Pomodoro kitchen timer is a simple timer that rings after 25 minutes. Cirillo used this timer while working to improve his focus and break up his work into manageable blocks of time. The idea is to work with concentration in 25 minutes bites of time and take a 5-minute break. The 5-minute break can be used to stretch out, respond to distractions or just close your eyes and breathe deeply!

If you wish to use the Pomodoro technique online, visit https://pomofocus.io/ and click on Start. You may set tasks for 25 minutes each and set your breaks – short or long. Watch your daily report and log of activities to evaluate the effectiveness of the process.

Many apps allow you to use the Pomodoro technique. One of the popular ones is Pomodoro Timer (https://bit.ly/3JLeH3J) for Android. You define your tasks – make a task list, define a block of time when you will eliminate all distractions, start the timer and work for 25-minute chunks of time. You may repeat this work/break cycle as often as you wish. You can go for daily goal-setting and make each day more productive.

If you want to use the technique on iOS, this website https://zapier.com/blog/best-pomodoro-apps/ gives you a list of the five best Pomodoro timer apps for Apple users. The approach and technique for using are similar, with some interesting add-ons thrown in. I enjoy using the Pomodoro Technique. Sometimes, you may find it challenging to use as instructed. The 25 minutes time length could be disruptive. But even if you don’t stick precisely to the Pomodoro Technique’s time blocks, the underlying principles are really powerful – and the same timer apps can generally accommodate longer (or shorter) work blocks. You may work on it at your convenience and arrive at the optimum blocks that may prove comfortable and effective.

I wish you happy concentrating!
